HOW TO WORK WITH US

Your Tailor-Made Vacation Experience – The Process

We are not a “cookie-cutter-packages” travel agency. TropiQ Trips offers tailor-made vacations. In each of our countries, we work with a local agency that knows the country and each supplier or service provider better than anyone else. They assist us in creating the best itineraries for you and your family.
But we need your input so that you can get the most out of our services. The better we understand what you are looking for, the easier it will be for us to create the best itinerary to suit your interests and budget.

While we do not charge a planning fee, we ask you to understand that we only get paid when you book with us.

Here are the steps for working with us:

STEP 1

LET’S CHAT

I want your vacation to be unique and unforgettable. To get in touch with me, you can complete our Quote Request Form, email me, or book an initial consultation by phone.

Let me know what you want to see and do, what you imagine your vacation to look like, your budget (without airfare), and anything else that could make this vacation unforgettable and unique. This will confirm if we are a good fit.

STEP 2

PROPOSAL

It takes a few days, sometimes a week or more, to work on a proposal for you. I work directly with an agency at your chosen destination. They know the current “in”-spots & hidden gems. This ensures that your trip is not only awesome but also safe.

The agency and I communicate to come up with a draft itinerary that I then present to you. We appreciate your patience and assure you it will be worth the wait.

STEP 3

DECISION

Are you happy with the proposal?

Yes? Excellent!

Need to make changes? No problem. That’s what custom travel is all about. Just let us know. We want to make sure you are 100% happy!

Once you are happy with the itinerary, we will send you a detailed proposal including pictures and descriptions of your dream trip.

STEP 4

PAYMENT

When the proposal is what you envisioned, you sign off on the proposal and contract, complete our booking form, and pay a 25% deposit (unless stated otherwise). 60 days before your travel date, the remaining balance is due.

Payment options include wire transfers, checks, and Zelle. Credit card payments require an additional 3% (4.5% for non-US cards) processing fee.

STEP 5

ENJOY YOUR VACATION

All that remains now is to pack your suitcase and go! Everything has been taken care of. So just sit back & relax & enjoy the trip of a lifetime!

Together with our local agency at your destination, we are here to support you throughout your trip.

Other things to note about working with us:

We only book full vacation packages that include transfers or rental cars, accommodation, tours, and domestic flights (if needed). We do not offer only transfers, only rental cars, or only day tours.
While we are happy to customize our quotes to meet your budget, we don’t provide price breakdowns of our packages. Many of our prices are net prices and confidential.
We work with many hotels, resorts, and lodges but cannot work with Airbnb or long-term vacation rentals.
Our packages start and end at the airport at your destination. We don’t book international airfare.
In Panama, we can book one-way rental cars with drop-off in Bocas del Toro. This is just one of the advantages of working with us. The drop-off in Almirante or Chiriqui Grande from where you take a water taxi to the islands is a hard or impossible service to find booking directly with rental car companies.
